  • How can I register to exhibit at ISPE’s 2021 Annual Meeting & Expo?

  • What is included with the exhibit packages?

    All booth packages include the following:

    • 8’ high backwall drape, 3’ high sidewall drape (grey/white)
    • One 6’x30” skirted table (grey)
    • 7" x 44" cardstock identification sign
    • Two side chairs
    • One waste basket
    • Company listing on the ISPE Annual Meeting & Expo mobile app and in the printed exhibitor directory
    • Company listing in 2021 Annual Meeting & Expo online exhibitor directory
    • Listing in the ISPE Partner Showcase (virtual exhibit hall)
    • Welcome reception, lunch, and networking breaks held in Expo hall
    • 10 complimentary one-day Expo Hall passes for distribution to clients
    • Unlimited additional exhibit staff badges available for purchase ($150 each)

    10’x10’ Booth Package:

    • Three (3) exhibit personnel registrations (access to Expo Hall only)

    10’x20’ Inline booth space includes:

    • Six (6) exhibit personnel registrations (access to Expo Hall only)

    Additional expenses associated with the exhibit, including lights, phone, carpeting, electrical connections, additional furnishings, hard wire internet connection, etc., will be the responsibility of the exhibitor.

  • Are there any sponsorship opportunities still available?

    A list of all the available branding and sponsorship opportunities is available in the Exhibitor Dashboard. Simply click on the ‘Additional Sponsorship Opportunities’ tile for a full list, descriptions and pricing.

  • Is electric/power included with the exhibit packages?

    No. Electric/power to exhibit spaces is not included. Any exhibitor that needs power at their booth will need to place an order with the Haynes Convention Center. Order forms are available in the Exhibitor Kit, which can be found on the Exhibitor Resources web page.

  • Is the Expo Hall and booth spaces carpeted?

    The exhibit hall is not carpeted; however, the aisles will be carpeted in Tuxedo (Grey/Black). Booth spaces are NOT carpeted, but floor covering is REQUIRED for booths and will be enforced by show management. If the booth floor is not covered by 4:00 PM on Sunday, October 31, 2021, carpet will be installed at the exhibitor’s expense.

  • What are the payment terms for my exhibit package?

    A minimum of 50% of contracted exhibit space and enhancements will accompany the Application and Contract if submitted prior to 1 May 2021; full payment is due within sixty (60) days of the Application and Contract date, or 1 May 2021, whichever comes first. Full payment must accompany the Application and Contract if submitted after 1 May 2021. Exhibit spaces will not be guaranteed until full payment is received. No Exhibitor will be allowed to participate in the conference & Expo unless payment in full is received no later than five (5) business days prior to the start of the ISPE Event.

    If you need a copy of your invoice, you can login to your Exhibitor Dashboard in MapYourShow and click on the Submit Payments/Download Invoice button.

  • What if I have to cancel our exhibit space?

    You can find the cancellation terms on the back of the exhibit contract or in the Exhibit Terms and Conditions document, which can be accessed on the Exhibitor Resources web page.

  • How do I register my company exhibit personnel and what is the cost?

    New online exhibitor badge registration coming soon.

    Additional exhibitor badges can be purchased at a cost of $150 each. There is no limit to the number of additional badges that can be purchased.

    Confirmation emails will automatically be sent at the time of processing to the email address of each registrant.

  • Once exhibit staff is registered, how can changes and/or substitutions be made?

    Exhibitors will be able to make changes to exhibitor badge registrations through the new online badge registration. Coming soon.

    Exhibitor badge registrations and changes must be completed by 8 October 2021. Any changes after this date will need to be done onsite at the registration desk.

  • As an exhibitor can I attend any of the education sessions?
    • To attend any of the education sessions you will need to register for the Education Package. All badged exhibit staff can add access to the education sessions for the discounted rate of $500. This offer is not available to staff that is not registered with an exhibitor badge.
  • Are Expo Hall only passes available?

    Yes. There are one-day Expo Hall only passes available. They are available for access on Monday or Tuesday and cost $75. To purchase an Expo Hall pass, visit the Annual Meeting & Expo Registration web page.

  • What are the details for shipping to and from the conference?

    Shepard is handling shipments to and from the conference. For details and instructions, refer to the Exhibitor Kit.

  • How do I order A/V for my exhibit space?

    If you need A/V equipment for your exhibit space, you will need to place an order with SmartSource. You can find their order forms in the Exhibitor Kit.

  • Can I order lead retrieval service?

    Yes. ISPE has contracted with SmartSource for lead retrievals. You can find their order forms in the Exhibitor Kit.

  • Are there opportunities to network with Attendees outside of the exhibit hall?

    There are several a la carte networking options at this year’s Annual Meeting. Details coming soon.

  • Will breakfast and lunch be available to exhibitors during the conference?

    There will be grab & go coffee first thing in the morning before education sessions begin and will be located near the main session rooms.

    Lunch will be served in the Expo Hall on Monday, 1 November and Tuesday, 2 November.

  • Can I distribute promotional materials and collateral at my booth?

    Yes. However, it cannot be distributed or displayed anywhere outside of your booth. You also have the option to add digital copies of collateral within your Annual Meeting & Expo exhibitor directory listing, including video links.

  • Can we have food and beverages in our booth?

    Yes, but it must be ordered through the convention center approved vendor - Levy Restaurant. You can find the menu and order form on the Exhibitor Resources web page.

  • Can we host our own networking event?

    Yes, but they may not compete for attendees’ time, during the hours of the Expo Hall, education sessions or ISPE social functions. The ISPE approved time is Monday, 1 November after the Annual Meeting & Expo reception. View the full terms and conditions in the Exhibitor Terms & Conditions document or your exhibit contract.

  • What safety precautions are being planned?

    New and robust risk mitigation measures are being undertaken to instill public confidence in the safety of ISPE’s in-person events. In conjunction with the venues and vendors supporting our events, we are committed to the proper implementation of CDC, state, and local public health guidelines to ensure protective measures are in place to help mitigate the spread of COVID-19. Included are the measures ISPE will implement in accordance with the guidelines from the state and local authorities. Risk mitigation measures will be clearly posted on-site throughout the event and on event websites, registration materials, and marketing communications. ISPE Staff will be adequately trained and informed to properly advise and assist attendees in the practice of established mitigation measures.
